Document automation reads the documents coming into your business, pulls out what matters, checks it against your rules, and produces whatever has to go back out. The person moves from doing the work to approving it.

How is it built for regulated work?

This is where cutting corners shows up years later, in front of somebody with the power to ask questions.

  1. Start from the obligation. What the regulator requires evidence of shapes the architecture, not the other way round.
  2. Extract with confidence scores. Low confidence goes to a human. The system knows what it does not know.
  3. Never let it approve itself. Generation is automated. Sign-off stays with a named person.
  4. Log the whole chain. Source document, extracted value, rule applied, human decision, timestamp.
  5. Prove human involvement. UK GDPR Article 22 cares whether a person meaningfully engaged, not whether a checkbox was ticked.

When this is not worth doing.

The maths does not always work, and we would rather say so early.

If you process a handful of documents a week, the build will not pay back. If your documents are already structured data arriving through an API, you need workflow automation, not document extraction, and it will cost you less. And if the documents are handwritten in poor condition, expect a human in the loop permanently rather than eventually. On the other hand, where qualified people spend a meaningful part of their week re-typing information that already exists, this is usually the highest-return automation available to that business.

What is AI document automation?

AI document automation reads incoming documents such as PDFs, scans, emails and forms, extracts the information that matters, validates it against your rules and records, and generates the documents that have to go back out. A person reviews and approves rather than transcribing.

Can it handle scanned and handwritten documents?

Scanned documents and photographs of pages are handled well. Handwriting varies considerably with quality, and where it is poor we would expect a permanent human checking step rather than promising accuracy we cannot deliver.

Is document automation safe for regulated work?

It can be, if it is engineered for it. That means confidence scoring so uncertain extractions go to a person, approval gates so nothing is signed off automatically, and a complete audit trail covering source document, extracted value, rule applied and human decision with timestamps.

Does this comply with UK GDPR Article 22?

Article 22 restricts solely automated decisions with legal or similarly significant effects. Systems we build keep a named person meaningfully involved in consequential decisions and record that involvement, which is the substance the regulation is concerned with rather than the appearance of it.

How is this different from OCR?

OCR converts an image into text and stops there. An AI document system understands what the text means, handles layouts it has not seen before, scores its own confidence, and validates what it found against your records.

How much does document automation cost?

Straightforward extraction and generation typically starts in the £7,000 plus VAT band. Regulated deployments requiring audit trails, approval gates and evidence of human involvement start at £15,000, because that evidence layer is engineering rather than configuration.
