What exactly is an AI system, and how is it different from a model?

A model is the raw intelligence. It reasons, writes and answers, but on its own it knows nothing about your business and can take no action.

An AI system is everything we engineer around that model to make it useful, reliable and safe: your knowledge, a memory that persists, a controlled way to take action inside your real tools, and the checks that keep it honest. The model is one part. The system is what makes it dependable in daily use.

What is an agentic AI engine?

It is the layer that lets software pursue a goal on its own. You set an outcome, and the engine plans the steps, pulls the data it needs, decides between options, takes the action, checks its own result, and only comes back to you when the job is done or a decision genuinely needs a person.

It is the difference between answering a question and owning an outcome.

What is an AI agent, and can I just buy one?

An AI agent is a model given a goal, tools and the freedom to act on it. It is not a product you pick from a menu.

We engineer each agent around the way your business works: your workflows, your data, your tools and your rules. An agent might answer the phone and book work, or read a tender and draft a proposal. Same engineering underneath, a different worker on top.

How do AI agents, systems and workflows fit together?

Systems hold the knowledge, memory and safe access to your tools. Agents reason, decide and take action against those systems. Workflows make the whole thing repeatable, observable and reliable at scale.

Together they become something that runs a real process end to end, not just a clever chatbot that answers and stops.

What does workflow automation actually cover?

Triggered, observable processes that connect your tools and carry work through to completion: capturing enquiries, routing them, booking, invoicing, onboarding, reporting and the internal glue between systems.

A workflow fires the right step at the right moment, recovers cleanly when something fails, and leaves a trail you can inspect afterwards.

Is this just ChatGPT with extra steps?

No. A chat window is a single interface onto a model. What we build is a system that holds your documents, remembers context, connects to your booking system or CRM, takes action under rules you set, and logs everything it did.

The model is a component we choose, and we can swap it. The engineering around it is the actual product.

Do you sell a ready-made product, or build something bespoke?

Bespoke, every time. We are an AI engineering company, not a product catalogue.

We analyse how you actually operate, then design the architecture around that reality. The result is a system built for your operation rather than a template dropped on top of you.

How do you design a solution for us?

We start by mapping your current workflows, the manual tasks, the internal systems, the data and communication flow, the policies and the bottlenecks.

Then we design on paper first: data flows, model choices, tool interfaces, failure modes. That design is reviewed with you before any code is written, so there are no surprises about what is being built or what it will cost.

How do you build and deliver a project?

In clear weekly sprints, with regular demos so you can see progress, give feedback and stay in control.

You choose where it lives: hosted and managed on FlowNest infrastructure by default, with in-house hosting available on Enterprise engagements. Either way it comes with proper monitoring and a clean handover.

How long does a typical project take?

Most engagements run four to eight weeks from first call to a live system. A tightly scoped single workflow can be quicker. A multi-agent system touching several internal platforms takes longer.

We give you a phase-by-phase timeline at the architecture stage, before you commit to the build.

What does it cost?

It depends on scope, and we will not pretend otherwise. What we can promise is that you get a written diagnosis and a costed architecture before you commit to anything.

Pricing is discussed openly at the design stage: the build, the running costs of models and infrastructure, and the ongoing support if you want it. No usage surprises after go-live.

What if we already have an internal IT or development team?

That usually makes projects go faster. We work alongside internal teams regularly, and we document the architecture so your people can own it.

If you would rather your team run the system after handover, we build for that from day one and train them on it.

Safety, control and what happens next

How do you keep an agentic system safe and under control?

Guardrails are designed in, not bolted on. Agents get permissioned access to specific tools rather than open access to your estate. Actions that carry real consequence require confirmation or a human check.

Every step is logged, budgets are capped, and the system escalates to a person when a decision genuinely needs judgement.

What happens to our data?

We design around data minimisation: the system sees what it needs for the task and no more. Where a project involves personal or regulated data, we agree the lawful basis, retention and processing arrangements in writing before the build starts.

What happens after the system goes live?

Live systems drift. Models change, your processes change, and edge cases surface that nobody predicted in week one.

We stay engaged to monitor, tune, extend capabilities and keep the thing earning its keep. Complete source-code and IP transfer is available through the Full Handover package if you would rather own and run it outright.

What if it does not work, or we want to stop?

Your data and business information remain yours. Starter, Premium and Enterprise clients receive a permanent licence to use the delivered system within their business. FlowNest retains ownership of the underlying platform, reusable code and libraries. Complete source-code and IP transfer is available through Full Handover. You leave with the documentation and the architecture, and we do not hold a system hostage in a proprietary black box.

If a discovery session concludes that automation is not the right answer for a given process, we will tell you that. You still leave with the written diagnosis.

Do you work with businesses outside Leeds and Yorkshire?

Yes. We are based in Leeds and work in person across West Yorkshire, but a large share of our work is delivered remotely for clients across the UK.

Discovery sessions run just as well over video, and the systems we build do not care where they are deployed.
